Terms and Conditions
Terms governing use of shortgapvfc.org and its online services.
Effective date: July 21, 2026
These Terms and Conditions govern use of shortgapvfc.org and related online services operated for Short Gap Volunteer Fire Company. By using the website, you agree to these terms. Do not use the website if you do not agree.
1. Informational purpose
Website content is provided for general information and may be changed, corrected, or removed without notice. Although reasonable efforts are made to keep information accurate, Short Gap VFC does not warrant that all content is complete, current, error-free, or available at all times.
2. No emergency reporting
The website, email, forms, and social-media accounts are not emergency reporting systems. Call 911 for emergencies. Submitting a message does not create a dispatch request or guarantee a response.
3. Acceptable use
You may not use the website to violate law, interfere with website operation, attempt unauthorized access, introduce malicious code, impersonate another person, submit fraudulent information, harass others, scrape restricted content, evade security controls, or misuse department names, marks, or resources.
4. Volunteer-interest submissions
A volunteer-interest submission is not a formal application, membership acceptance, background-check approval, certification, employment relationship, or promise of placement. The Company may establish eligibility, training, conduct, attendance, residency, background, age, and other requirements.
5. Events, registrations, tickets, and fundraisers
Events may include separate eligibility rules, schedules, capacity limits, age restrictions, drawing rules, admission conditions, deadlines, or refund provisions. Event-specific rules presented at checkout or on an event page are incorporated into these terms. The Company may modify, postpone, relocate, or cancel an event when reasonably necessary.
6. Donations
Donations are voluntary gifts and are generally final except for duplicate transactions, processing errors, fraud, or other circumstances the Company determines warrant correction. No goods or services are promised unless expressly stated. Donors are responsible for consulting a tax professional regarding deductibility.
7. Panovents and third-party platforms
Panovents or another third-party service may provide event listings, registration, ticketing, donation, raffle, communication, or checkout functionality. Use of those services may be subject to additional platform terms and privacy policies. Short Gap VFC is responsible only for the event or transaction obligations it expressly undertakes.
8. Stripe and payments
When enabled, card payments may be processed by Stripe or another approved processor. You authorize the processor and participating financial institutions to process the amount displayed at checkout. Short Gap VFC does not control bank authorization decisions, card-network rules, currency conversion, or processor availability.
9. Intellectual property
Website text, graphics, logos, photographs, layouts, code, and department identifiers are owned by or licensed to Short Gap VFC, Guidon Creative, photographers, or other rights holders. They may not be copied, republished, sold, modified, or used to imply endorsement without permission, except for ordinary personal and noncommercial viewing.
10. User content
When you submit text, photographs, or other content, you represent that you have the right to do so and grant the Company permission to use it as reasonably necessary to respond, administer the related activity, maintain records, or publish it when you have specifically requested or authorized publication.
11. Third-party links
Links are provided for convenience. Short Gap VFC does not endorse or control third-party websites and is not responsible for their content, security, availability, products, or practices.
12. Disclaimer
The website is provided on an "as is" and "as available" basis to the fullest extent permitted by law. No warranty is made regarding uninterrupted operation, fitness for a particular purpose, merchantability, noninfringement, accuracy, or freedom from harmful components.
13. Limitation of liability
To the fullest extent permitted by law, Short Gap VFC and its officers, members, volunteers, agents, and service providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from website use, inability to use the website, third-party services, event changes, lost data, or unauthorized access.
14. Indemnification
You agree to be responsible for claims, losses, or expenses arising from your unlawful use of the website, violation of these terms, fraud, infringement, or misuse of another person’s rights.
15. Governing law
These terms are governed by the laws of the State of West Virginia, without regard to conflict-of-law principles. Any dispute will be brought in a court with lawful jurisdiction over Mineral County, West Virginia, unless applicable law requires otherwise.
16. Changes and severability
Terms may be updated by posting a revised version. If a provision is found unenforceable, the remaining provisions will continue in effect.
